Full lifecycle
Develop. Build. Manage. Maintain. Improve.
Property and facility teams belong in early decisions—not only in the handover meeting. Open the stage relevant to your work.
Site strategy & feasibility
Bring the business brief and site due diligence into the same decision record before the construction program is committed.
Scope
Site acquisition and due diligence; land-use and entitlement coordination; utility capacity and service interfaces; environmental and geotechnical information; access constraints; preliminary scope, risk and program assumptions. Existing-property operating history, management priorities and future receiving-team requirements inform feasibility.
Information retained
Site-option register, source studies, utility correspondence, development assumptions, risk register, business-case references and approval history.
Decision and handoff
An authorized development decision records its basis, unresolved conditions, accountable owner, and next action.
Requirements and conditions carry into concept design and development planning.
Development planning & capital
Connect the program, capital plan, commercial commitments, master schedule and procurement strategy.
Scope
Budget baselines; funding and draw-review references; contracts and scope allocation; project phasing; master schedules; contingency, risk, stakeholder responsibilities and delivery strategy. Existing-property capital planning and property-manager input on service history and operating priorities.
Information retained
Approved budget versions, commercial commitments, contract references, funding decisions, milestone plans and risk ownership.
Decision and handoff
Authorized scope, funding assumptions, project responsibilities and baseline milestones are traceable; unresolved items remain visible.
Approved requirements guide design packages, procurement commitments and change control.
Design, coordination & approvals
Keep the design basis, current document revisions, review comments and approval conditions connected.
Scope
Owner requirements; architectural, civil, structural, mechanical, electrical and specialist coordination; drawing and model references; constructability; permitting milestones; design changes and commissioning planning. Property access, maintainability, occupant impacts and receiving-team information requirements are coordinated during review.
Information retained
Requirements, design-package register, controlled revisions, review comments, authority correspondence, decisions and approval conditions.
Decision and handoff
An authorized package release identifies the controlling revision, unresolved design issues, conditions and required reviewer dispositions.
Procurement and field work receive the right revision, acceptance criteria and documented conditions.
Procurement & preconstruction
Connect commercial commitments and equipment lead times to the approved design and installation sequence.
Scope
Bids and qualifications; buyout; scope gaps; submittals; samples and mockups; long-lead equipment; factory-test records where applicable; delivery, storage and logistics; installation-readiness prerequisites. Receiving, warranty-source, operating and maintenance-information commitments are identified before release.
Information retained
Package register, vendor commitments, purchase references, submittal dispositions, approved substitutions, test reports and delivery milestones.
Decision and handoff
Required review dispositions, scope responsibilities and release conditions are satisfied or explicitly accepted before an authorized procurement or installation release.
Field teams receive controlled packages, installation requirements, inspection points and supplier responsibilities.
Construction & project controls
Bring daily delivery, commercial change and field verification together without losing source evidence.
Scope
Work packages and look-aheads; RFIs and submittals; installation checks; field observations and deficiencies; photos and location references; progress; safety-record references; change orders, cost exposure and payment-review records. Occupied-property access, occupant-impact coordination and preservation of operational context.
Information retained
Current drawings, field reports, inspection evidence, responses, verified corrections, change records, cost and schedule impacts.
Decision and handoff
Work-package acceptance retains the requirement, installation evidence, inspection or test outcome, unresolved items and authorized disposition.
Commissioning and turnover receive traceable as-installed information and visible exceptions—not just a closed task.
Commissioning & phased turnover
Execute and retain the commissioning evidence planned from the outset, then prepare an accountable handover.
Scope
Readiness reviews; approved test procedures; functional and integrated-systems testing as applicable; retests; exception acceptance; phased handover; as-recorded documents; manuals, spare-parts information, warranties and training.
Information retained
Prerequisite checks, witnessed test results, issue and retest history, accepted exceptions, turnover package contents and acceptance authority.
Decision and handoff
Authorized acceptance confirms the required evidence, training and outstanding exceptions for the defined system, area, building or project phase.
Property and facility managers receive the approved assets, history, limitations, warranties, responsibilities and unresolved follow-up actions.
Property management, maintenance & operations
Connect daily property responsibilities and owner reporting with the systems, service history and long-term needs of each building.
Scope
Authorized portfolio oversight; owner reports; property and asset records; preventive maintenance; general occupant-reported building concerns; service and repair work; vendor assignments; approval limits; warranty follow-up; condition reviews; capital plans and management transitions.
Information retained
Property priorities, service requests, approved scopes, assignments, work records, review outcomes, warranty sources, owner decisions, capital recommendations and delegation history.
Decision and handoff
The assigned manager and facility team can use accepted property records, track open obligations, obtain authorized approvals and retain verified outcomes within their delegated scope.
Property conditions, service history and capital priorities inform future work; authorized records survive vendor, staff and management changes.
Renewal, redevelopment & transition
Start new work without losing what the existing development has already established.
Scope
Tenant fit-out; capacity expansion; condition assessments; replacement and renewal; redevelopment; decommissioning planning; authorized due-diligence and disposition packages. Property-management transition, approved records transfer and revocation of outgoing access.
Information retained
Existing-condition evidence, retained project history, new project/building relations, option and approval records, and authorized transfer packages.
Decision and handoff
The next approved project or transfer identifies the retained record, current condition, relevant constraints and authorized access.
New work starts with traceable context while the permanent building history remains intact.
Continuity after closeout
An archived project can still have a next obligation.
The building record should distinguish what was accepted, where the review was limited, and what still needs follow-up. Closing a project does not itself complete a warranty review, seasonal check, or owner action.
- Original work: preserve the finding, response, criteria, and scoped verification.
- Turnover: identify the receiving team and outstanding obligations.
- Later review: link a new observation to the relevant building history without rewriting the earlier decision.
- Future work: carry a readable record and useful export into the next project.
The synthetic case demonstrates these relationships; the sample building view provides the wider project context.
